Result allocation
- Step 1:
In order to allocate a bid, click on “Show Bid Result” button.
- Step 2:
Item Owner has to login from their login access and open the particular RFQ.
Email Notification:
Once we click on “Show Bid Result”, the RFQ will be locked and an email will be sent to the Item owner.
- Step 3:
Go to RFQ Items > Click on Allocations.
- Step 4:
You will be redirected to the Allocation page.
- Step 5:
Click on Send Request option.
An approval request will be sent from the Item Owner to the RFQ Approver.
Update Allocation:
Item owner can change the Allocate Quantity & Allocated percentage and send request to RFQ approver to review the changes.
Loss:
If the Item Owner or any authorized person modifies the allocated quantity or percentage, leading to an increase in loss values, they must provide a justification under the "Loss Reason" section.
For example:
Suppose vendors L1 and L2 offer materials at a lower price and in higher quantities, but the item owner allocates a higher percentage to L3 (who may have less favorable terms). In such a case, a proper justification must be provided in the "Loss Reason" field to explain the decision.
Note for Supplier:
When allocating the Bid, if they want to mention any note for vendors, then they can mention in “Note for supplier”
- Step 6 :
Login from RFQ approver and go to the Requested Allocations module.
- Open the RFQ that you want to approve.
- In case, RFQ approver wants to change anything then they can update the value and click on ‘Approve Request’.
- Email Notification:
The Item Owner and Vendor will receive an email regarding the bid allocation. Additionally, vendors will receive an SMS notification.
